Why Slack English Is Different from Email English

If your Slack messages read like emails, you’re signaling that you don’t understand the culture of US tech communication. Slack is informal, fast, and direct. Formality in Slack doesn’t make you sound professional — it makes you sound disconnected.


The 8 Slack Situations You Need to Master

1. Giving a Status Update

This is the most common Slack message you’ll write. And it’s where most non-native speakers lose credibility.

What junior devs write:

Hello team. I would like to inform you that I have completed the work on the authentication module. It is now ready for review. Please let me know if you need anything else from me.

What senior devs write:

Auth module is done — PR is up: [link]. Main changes: switched from session tokens to JWTs, added refresh token rotation. Happy to walk through it if anyone has questions.

The pattern: Lead with what’s done, link the evidence, summarize the key decisions, offer availability. No greetings. No padding. Every sentence carries information.

More examples:

Quick update on the migration: 3 of 5 tables are done, running into some edge cases with the user_preferences table. Should have it wrapped up by EOD tomorrow.

Shipped the fix for the cart bug. Turned out to be a race condition in the checkout flow — added a mutex lock. Monitoring prod now.


2. Asking for Help

This is where cultural differences hit hardest. In many Latin American workplaces, asking for help feels like admitting weakness. In US tech culture, asking good questions is a signal of seniority.

What sounds junior:

Sorry to bother you, but I have a question. I am not sure how to implement the caching layer. Could you please help me? I apologize for taking your time.

What sounds senior:

Hey @maria — quick question on the caching layer. I’m deciding between Redis and an in-memory LRU cache. Redis feels like overkill for our current traffic, but it’ll scale better. What’s your take?

The pattern: Tag the right person, state what you’ve already figured out, present your thinking, ask a specific question. No apologies. No self-deprecation.

More examples:

Anyone dealt with Stripe webhook retries before? I’m seeing duplicate events and my idempotency check isn’t catching them all. Already looked at their docs but the examples don’t cover our edge case.

@david quick q — is there a reason we’re using axios instead of fetch in the new services? Just want to make sure before I refactor.


3. Flagging a Problem or Blocker

How you communicate problems directly affects how your team perceives your reliability. Vague problem reports make you look junior. Structured ones make you look like a leader.

What sounds junior:

Hi, I have a problem. The API is not working. I think there is an error. I am not sure what to do.

What sounds senior:

Heads up — the payments API is returning 500s intermittently. Started about 30 min ago. I’ve checked our logs and it looks like a timeout on Stripe’s end. Not blocking yet, but if it persists past the hour, we’ll need to switch to the fallback endpoint. I’ll keep monitoring.

The pattern: Start with “heads up” (signals awareness, not panic). State what’s happening, when it started, what you’ve investigated, what the impact is, and what your plan is. This is how senior engineers communicate problems.

More examples:

FYI — CI is flaky again on the e2e tests. Looks like the same Playwright timing issue from last sprint. I’m going to bump the timeout for now and open a ticket to fix it properly.

Blocked on the data export feature — need access to the prod read replica. @ops can someone grant me read-only? Ticket: ENG-1234


4. Disagreeing or Pushing Back

This is the hardest one for non-native speakers. Disagreeing in English — especially in writing — requires precision. Too soft and you get ignored. Too direct and you sound aggressive.

What sounds passive:

I think maybe we could perhaps consider another option, if that’s okay with the team.

What sounds aggressive:

That won’t work. We need to do it differently.

What sounds senior:

I see the appeal of that approach, but I’m worried about the maintenance cost down the line. What if we [alternative]? That way we get [benefit] without [downside].

The pattern: Acknowledge the other person’s idea, state your concern with a specific reason, offer an alternative with clear benefits. This is how you disagree without creating conflict.

More examples:

Solid idea, but I’d push back a bit on the timeline. If we rush the migration, we’ll end up with tech debt that slows us down in Q3. Can we scope it as a two-sprint effort instead?

I’ve been thinking about this more and I’m not sold on microservices here. Our team is 4 people — a well-structured monolith would be easier to ship and debug. Open to being convinced otherwise though.


5. Responding to Messages (Reactions and Replies)

Short responses are where fluency really shows. A non-native speaker’s quick reply often sounds either too formal or too blunt.

Too formal:

Thank you very much for sharing this information. I will review it carefully and provide my feedback at my earliest convenience.

Too blunt:

OK.

Just right:

Nice, looks good to me. One small nit on the error handling — left a comment on the PR.

Makes sense, thanks for the context. I’ll adjust my approach.

Got it — I’ll loop back once I’ve tested it locally.

Pro tip: Learn to use emoji reactions strategically. In US tech Slack culture:

  • Eyes emoji = “I’m looking at this”
  • Check mark = “Done” or “Acknowledged”
  • Thumbs up = “Sounds good”
  • Rocket = “Great idea” or “Shipped!”
  • 100 = “Totally agree”

These aren’t just fun — they’re a communication tool. A well-placed reaction can replace an entire message and shows you understand the culture.


6. Asking for a Review or Approval

Getting people to review your work is a skill. The difference between a request that gets ignored and one that gets a fast response is in the framing.

What gets ignored:

Hello, could someone please review my pull request when you have a moment? Thank you in advance.

What gets reviewed fast:

PR ready for review: [link]. It’s a small one (~150 lines) — refactored the notification service to support email + push. Mainly looking for feedback on the provider pattern I used. No rush, but it blocks the next ticket.

The pattern: Link first. State the size (people prioritize small PRs). Summarize what changed and what kind of feedback you want. Mention urgency or dependencies.

More examples:

@frontend-team — need eyes on this CSS refactor before I merge. Touched the grid layout on the dashboard, want to make sure nothing shifted. Quick review, no logic changes.

Design review needed: [Figma link]. Mocked up the new onboarding flow based on the user research findings. Would love feedback on the step 3 interaction before I start building.


7. Making Small Talk and Building Rapport

This one surprises people. You need Slack small talk. It’s how you build relationships, earn trust, and get promoted. If you only post technical updates, you’re invisible as a person.

What sounds unnatural:

I hope everyone had a pleasant weekend. The weather was quite nice in my city.

What sounds natural:

Hope everyone survived Monday. Anyone else’s brain still in weekend mode?

Just discovered our office coffee machine makes a surprisingly decent cortado. Small wins.

The new season of that Netflix show dropped — no spoilers in this channel please.

In #random or #watercooler channels, participate. React to memes. Share something interesting. Comment on what others share. This isn’t wasting time — it’s building the social capital that makes everything else easier.


8. Threading and Channel Etiquette

Senior professionals don’t just write good messages — they write them in the right place.

Rules that mark you as a pro:

  • Use threads. Never reply to a detailed technical discussion in the main channel. Click “Reply in thread.”
  • Use @here sparingly. Only when something genuinely needs everyone’s immediate attention.
  • Don’t DM when you should post publicly. If the answer helps the team, ask in the channel.
  • Summarize long threads. When a thread hits 20+ messages, post a summary in the main channel: “TL;DR from the thread: we’re going with option B. Shipping Friday. @sarah is point on the migration.”
  • Use channel-appropriate tone. #engineering is more technical, #general is lighter, #incidents is all-business.

The 5-Second Rule for Every Slack Message

Before you hit Enter, apply this filter:

  1. Can I cut the first sentence? (Usually yes — it’s a greeting or throat-clearing.)
  2. Is there a link or evidence I should include? (PRs, tickets, screenshots, logs.)
  3. Would a senior engineer at Google write this? (If it sounds too formal or too vague, rewrite it.)
  4. Am I apologizing for no reason? (Delete “sorry” unless you actually did something wrong.)
  5. Does every sentence add information? (If not, cut it.)
